Shared Logins vs. Shared Mailboxes: What Teams Get Wrong

It is one of the most common requests small business owners make when setting up email for a team: “Can everyone just share one login?” The thinking is practical. You want multiple people to see the same inbox, respond to the same messages, and stay on the same page. One account feels simpler than managing several.

The problem is that shared logins create headaches that are not obvious until something goes wrong.

What Goes Wrong With a Shared Login

When multiple people use the same username and password, a few things tend to happen over time.

  • Nobody knows whose password it is. When the person who originally set it up leaves, the team may find themselves locked out with no clear way back in.
  • Microsoft flags it as suspicious. Microsoft 365 watches for sign-ins from multiple locations or devices in a short window. A shared login triggers those alerts, and the account can get locked automatically.
  • You cannot remove one person’s access. If an employee leaves on bad terms, you cannot revoke their access without changing the password for everyone and redistributing it.
  • There is no accountability. When everyone shares a login, there is no record of who sent a message, who deleted an email, or who made a change.

These are not edge cases. logic-IT sees them regularly when working with small businesses across Georgia.

The Better Option: A Shared Mailbox

Microsoft 365 includes a feature called a shared mailbox, and it solves the core problem without the risks. A shared mailbox is an inbox that multiple people can access, but each person signs in with their own individual credentials. Nobody shares a password.

The practical benefits are significant.

  • No extra license required in most cases. Microsoft allows shared mailboxes up to 50GB without an additional paid license, which makes this a cost-effective solution for most small teams.
  • Access is individually controlled. You add or remove people one at a time. When someone leaves, you remove them without affecting anyone else.
  • The inbox stays visible to the whole team. Everyone with access
