If you run a small business, there is a good chance your current password policy says something like “passwords must be changed every 90 days.” It feels responsible. It looks good on a compliance checklist. The problem is that it tends to make your team’s passwords weaker over time, not stronger.
What Actually Happens When a Deadline Hits
When people know a password reset is coming, they do not sit down and invent something creative. They do the fastest thing that gets the system to accept the new entry. That usually means a predictable pattern: a season, a year, a company name with a number tacked on the end. Summer2025. Password1. CompanyName3. These are not hypothetical examples. They are what IT teams see in the wild, over and over.
Mandatory rotation trains people to game the rule rather than think about security. After a few cycles, most users have a base word they rotate numbers on. An attacker who gets one of those passwords can often guess the next one.
What NIST Actually Recommends Now
The National Institute of Standards and Technology updated its password guidance years ago, and the core message surprised a lot of people. NIST moved away from recommending forced periodic rotation. Instead, the guidance focuses on three things:
- Length over complexity. A long passphrase, meaning a string of random words, is harder to crack than a short password full of symbols.
- Uniqueness across accounts. Reusing the same password on multiple systems is one of the most common ways a single breach turns into a much bigger problem.
- Changing passwords when there is a real reason. A known breach, a compromised account, or a departing employee are all good reasons to reset. The calendar alone is not.
The logic is straightforward. A long, unique passphrase that a person actually remembers and does not reuse is far more valuable than a short recycled password that gets swapped out on schedule.
