Why Your Business Emails Land in Spam (And How to Fix It)

Few things are more frustrating than sending a professional email and learning it never reached the inbox. If your business emails are landing in spam folders, the problem usually has nothing to do with your writing or your reputation. It comes down to three DNS settings most small businesses have never heard of: SPF, DKIM, and DMARC.

What These Records Actually Do

When you send an email, the receiving mail server runs a quick background check on your domain. It wants to know whether the server sending that message is actually authorized to send on your behalf. SPF, DKIM, and DMARC are the records that answer that question.

  • SPF (Sender Policy Framework) lists the mail servers that are allowed to send email from your domain.
  • DKIM (DomainKeys Identified Mail) adds a digital signature to your outgoing messages so the receiving server can verify they have not been tampered with.
  • DMARC (Domain-based Message Authentication, Reporting, and Conformance) tells receiving servers what to do if SPF or DKIM checks fail, and it can send you reports about how your domain is being used.

Without these records in place, platforms like Microsoft 365 and Google treat your emails with suspicion, even when everything about the message itself is completely legitimate.

The Spoofing Risk You May Not Know About

Spam filtering is only part of the problem. When authentication records are missing or misconfigured, your domain becomes an easy target for spoofing. That means someone outside your organization can send emails that appear to come from your address. Your clients, vendors, or employees could receive a fraudulent message that looks like it came from you, and they would have no obvious reason to doubt it.

This is not a theoretical risk. logic-IT has worked with Georgia businesses that discovered their domain was being used in phishing attempts, and in most cases the fix started with getting these three records properly configured.

Why This Keeps Getting Overlooked

Most small businesses set up email once and move on. If it works on day one, there is rarely a reason to dig into DNS settings. The problem is that email security standards have tightened considerably over the past few years. Google and Microsoft have both updated their requirements for bulk and business senders, and a configuration that was acceptable a few years ago may now cause deliverability problems.

Misconfigured records are also easy to overlook because the symptoms are inconsistent. Some emails get through while others do not. Some recipients see the message in spam while others receive it normally. That inconsistency makes it harder to trace the issue back to authentication.

A One-Time Fix With Lasting Results

The good news is that getting SPF, DKIM, and DMARC right is not an ongoing project. It is a one-time setup task that, once done correctly, protects your domain and improves deliverability for years. logic-IT handles this as part of standard email setup for clients in Georgia, and we also audit existing configurations for businesses that are already experiencing issues.

If your emails are landing in spam or you have never reviewed your email authentication records, it is worth taking a closer look. The fix is straightforward, and the impact on your day-to-day communication can be significant.
